Asset Preferences
Note: The role of the logged-in user must have access to the Asset Inventory feature in order to have the Assets preference settings.
There are four ways to perform asset inventory, represented by Form 1, Form 2, Form 3, and Form 4.
Selecting the Asset Form
The form choice is set in the User Preferences\Assets tab.
- Select Tools > User Preferences from the main menu to reach this form.
- From the Asset Inventory Form drop-down options, you may select Form 1, Form 2, Form 3, or Form 4.
- Form 1 is the default selection.
Inventory-Assets Form 1
This form accommodates new and existing assets (see "Asset Inventory Form 1" for more information). With Form 1,perform the inventory for an entire location. You will notice three aspects to this form; they display the following information when you enter the location:
Inventoried: the amount of assets inventoried in this location is displayed.
Remaining: the amount of assets remaining to be scanned/entered into this location is displayed during the inventory session.
New: the amount of new assets scanned is displayed during the inventory session.
You may perform an inventory on all of the assets for this location in one session when you use Form 1.
Inventory-Assets Form 2
This form accommodates new and existing assets (see "Asset Inventory Form 2" for more information). With Form 2, you may perform the asset inventory by counting the asset-location one at a time.
Inventory-Assets Form 3
Form 3 accommodates new assets. With Form 3 you may use the Lock feature to expedite asset inventory scanning of new assets. You may also assign a serial number, assignee, and condition to the new asset (see "Asset Inventory Form 3" for more information).
Inventory-Assets Form 4
Form 4 accommodates EXISTING inventoried assets. When the asset number is scanned, the asset is automatically inventoried in its site-location (see "Asset Inventory Form 2" for more information).
